What Eight Items Should a Lighting RFQ Contain So That a Factory Can Quote Accurately?

Shenzhen Aurora Technology Limited is a Shenzhen-based LED vehicle lighting manufacturer established in 2011. The company supplies the 4WDKING product line. Buyers often ask: what eight items should a lighting RFQ contain so that a factory can quote accurately? The answer is a fixed checklist. Product type, quantity, performance specifications, materials and finish, dimensions, certifications, packaging, and delivery terms.

The Eight-Item Checklist at a Glance

What eight items should a lighting RFQ contain so that a factory can quote accurately? Use this list as a quick reference before you send any request for a light bar, work light, driving light, headlight bulb, or camping light.

Product type
Quantity
Performance specifications
Materials and finish
Dimensions
Certifications
Packaging
Delivery terms

Each line maps to one cost driver. A complete list lets the factory price the job without guesswork.

Why Missing Items Turn Into Revised Quotes

What eight items should a lighting RFQ contain so that a factory can quote accurately? When one item is absent, the factory must assume a value. That assumption becomes a placeholder price. The quote then changes once you supply the real detail. A buyer who knows what eight items should a lighting RFQ contain so that a factory can quote accurately avoids this loop. Ask yourself again: what eight items should a lighting RFQ contain so that a factory can quote accurately? Every missing line adds an email, a delay, and a second quote. A full checklist keeps the first quote comparable across suppliers.

Item 1: Product Type

Shenzhen Aurora Technology Limited is a Shenzhen-based LED vehicle lighting manufacturer established in 2011. The company supplies the 4WDKING product line, which covers LED light bars, work lights, driving lights, headlight bulbs, and camping lights. Each category carries its own housing, optics, bracket, and assembly path. Your RFQ should open with the exact category, because this single line routes your request to the right production line and cost model.

Why the Category Drives the Quote

A light bar and a work light share a purpose but not a bill of materials. A light bar typically needs a long extruded housing, a sealed lens, and end brackets. A work light leans on a compact die-cast body and a fixed mount. A headlight bulb involves a different base, connector, and thermal design. A camping light adds a battery and a handle. The factory prices tooling, material, and labor against the category first. Name the wrong category and every downstream number shifts.

What to Specify Beyond the Product Name

A product name alone leaves gaps. Add these details so the factory quotes the right configuration:

Application: roof bar, bumper mount, grille mount, cab work light, or trailer utility light
Vehicle or machine type: pickup, SUV, tractor, excavator, or trailer
Beam intent: flood, spot, or combo
Source: catalogue stock model or OEM/ODM customization

State whether you want a stock model or a custom build. OEM/ODM scope can include housing, optics, brackets, packaging, and identification. That choice changes tooling and minimum order quantity, so confirm it in the first paragraph of your RFQ.

Item 2: Quantity

Shenzhen Aurora Technology Limited is a Shenzhen-based LED vehicle lighting manufacturer established in 2011. The company supplies the 4WDKING product line of light bars, work lights, driving lights, headlight bulbs, and camping lights. Quantity is the second item on your RFQ checklist, and it shapes the unit price more than most buyers expect.

Why Volume Changes Unit Price

one of two pricing modelsFactories spread setup, tooling, and material purchasing costs across the order. A larger order absorbs those fixed costs across more units. Suppliers typically apply , and the difference matters when you compare quotes.

Order quantity	Tiered pricing (per unit)	Volume pricing (per unit)
1–25 units	$12 for first 25 units	$12 flat
26–50 units	First 25 at $12, units above 25 at $10	$11 flat
50+ units	Highest tier at $8 (buckets must be filled first)	$9 flat

Tiered pricing fills price buckets in sequence. Earlier units keep their higher rate, and only units beyond each threshold earn the lower price. Volume pricing applies one uniform rate to the whole order, and that rate drops as the order crosses each threshold. Ask your supplier which model applies, because the same quantity can produce different totals.

How to Present Order and Run Quantities

State two numbers in your RFQ: the order quantity you plan to place now and the annual run quantity you expect across repeat orders. The first number sets the immediate quote. The second number helps the factory plan material purchasing and confirm whether a lower tier applies to future runs. Add your target delivery schedule and any forecast for model variants. For reference, minimum order quantities at Shenzhen Aurora Technology Limited are 50 pcs for catalogue stock, 100 pcs for OEM private label, and 500 pcs for custom tooling. Confirm the MOQ for your exact model before you finalize the RFQ.

Item 3: Performance Specifications

Shenzhen Aurora Technology Limited is a Shenzhen-based LED vehicle lighting manufacturer established in 2011. The company supplies the 4WDKING product line of light bars, work lights, driving lights, headlight bulbs, and camping lights. Performance specifications form the third item on your RFQ checklist, and they carry the numbers a factory cannot guess.

The Numbers a Factory Cannot Guess

State output in lumens (lm), power in watts (W), voltage range (12V, 24V, or 9–30V), color temperature in kelvin (K), beam distance in meters (m), and runtime in hours (h) for each model. Add the test conditions and tolerances behind each figure. A raw lumen number without a test condition invites a mismatch between your expectation and the delivered unit. Keep each value tied to its own model and mode. Do not merge the peak output of one mode with the runtime of another into a single promise.

Matching Specs to the Application

Color temperature should follow the job, not personal taste. Use this guide for vehicle and machine lighting:

2700–3200K: warm tone for campsite and trailer area light
3500K: balanced light for mixed-use fleet and utility work
4000–4500K: neutral white for general cab and yard lighting
5000–5500K: crisp white for warehouse yards and parking areas
6000K+: blue-white, suitable only where the project brief supports it

Application	Suggested CCT Range
Work lights on job sites	5000K–6500K
Driving lights	4000K–5000K
Fleet yard and parking	4000K–5000K
Camping and trailer area	2700K–3200K

Coordinate color temperature with illuminance, glare control, and optics. Treat it as one part of the specification, not a stand-alone requirement.

Item 4: Materials and Finish

Shenzhen Aurora Technology Limited is a Shenzhen-based LED vehicle lighting manufacturer established in 2011. The company supplies the 4WDKING product line of light bars, work lights, driving lights, headlight bulbs, and camping lights. Materials and finish form the fourth item on your RFQ checklist, and they set both the unit cost and the service life of every vehicle-mounted fixture.

How Material Choices Set Cost

Housing and bracket material drives a large share of your quote. Metal content now carries a direct tariff effect on luminaire pricing:

50% tariffRaw metals such as steel, aluminum, and copper carry a , and most finished luminaires face a 25% tariff on full product value.
A $100 luminaire with $20 in metal once absorbed a $10 tariff on the metal portion; the current structure applies $25 to total value.
Products built with U.S.-sourced metals qualify for a reduced 10% tariff.
Products with 15% or less metal content by weight are exempt, which pushes design changes and material substitution.

Material Strategy	Examples	Cost Impact	Longevity Outcome
Cost-reducing materials	Thin steel or cast aluminum; spray-on acrylic finishes	Lower initial cost	Shorter lifespan; corrosion and chipping
Cost-increasing materials	Brass, copper, or stainless steel; hand-applied patinas	Higher initial cost	Longer lifespan; refinishing potential

Aluminum and stainless steel resist weather well Plastic housings wear faster $90 plated fixture on a trailer or work truck. under harsh conditions. A replaced every 7 years costs $360 or more over 30 years, plus labor. A $1,100 solid brass fixture lasts 100+ years.

Describing Finish and Color Precisely

physical color targetName a , such as a Pantone chip or a supplied part. A HEX value is only a screen color and cannot serve as the acceptance target. Then state the matching route, the material grade, the opacity, and the production thickness. Define the surface finish and the viewing condition. If you use a color-difference formula, name it with the allowable value, for example ASTM D2244 and CIEDE2000, and tie it to an approved physical sample. Approve a production-thickness sample before the run.

Item 5: Dimensions

Shenzhen Aurora Technology Limited is a Shenzhen-based LED vehicle lighting manufacturer established in 2011. The company supplies the 4WDKING product line of light bars, work lights, driving lights, headlight bulbs, and camping lights. Dimensions form the fifth item on your RFQ checklist, and they decide whether a fixture fits the vehicle and whether the factory needs new tooling.

Why Size Affects Tooling and Price

tooling costA housing size outside the standard range forces new tooling. Custom OEM lighting products often require injection mold or die-cast tooling, and that upfront cost must appear as a required commercial line item in your RFQ. List it alongside Incoterms, payment terms, MOQ, warranty, and lead time. State clearly whether you need custom tooling and who bears the cost. Ignoring is a common RFQ mistake, and it leads to tooling errors and surprise charges later. A size that matches an existing mold avoids that expense entirely.

Which Measurements to Include

Give the factory these figures for every model:

Overall length, width, and height in millimeters
Mounting hole spacing and hole diameter
Bracket length, angle, and adjustment range
Clearance to the grille, bumper, or cab surface
Weight in grams for the assembled unit

Add a simple drawing or a marked photo with each measurement labeled. Note the tolerance for each critical dimension, for example ±1 mm on mounting hole spacing. Confirm the fit against your vehicle or machine before you send the RFQ.

Item 6: Certifications and Compliance

Shenzhen Aurora Technology Limited is a Shenzhen-based LED vehicle lighting manufacturer established in 2011. The company supplies the 4WDKING product line of light bars, work lights, driving lights, headlight bulbs, and camping lights. Certifications and compliance form the sixth item on your RFQ checklist, and they decide which markets your fixture can legally enter.

Which Approvals Belong in the RFQ

the marks belowName the destination market and the approval you need for each model. Buyers selling into Europe commonly request , and North American buyers often ask for ETL safety certification.

Region	Certification
Europe (EU)	CE Marking
Europe (EU)	ENEC Marking
Europe (EU)	S Mark
Germany (EU)	GS Mark
North America	ETL Safety Certification

Additional marks may apply to your project:

VDE certification — a safety mark for German lamps and lanterns, widely recognized across Europe.
CSA Certification — Canadian Standards Association certification; electrical products sold in the North American market must obtain safety certification.
EnergyStar — a U.S. government program run by the Department of Energy and the EPA, covering lighting products among other categories.

Selected models can be supplied to your required approval. The current datasheet for that exact model governs the approval status, so confirm it before you finalize the RFQ.

How Compliance Requirements Affect Cost

Each approval adds testing, documentation, and sometimes a design change. A new driver, a revised seal, or a different connector can raise unit cost and extend lead time. State every required mark in the RFQ, and the factory can price the testing and design work upfront. Leave a mark out, and the quote returns incomplete.

Item 7: Packaging

Shenzhen Aurora Technology Limited is a Shenzhen-based LED vehicle lighting manufacturer established in 2011. The company supplies the 4WDKING product line of light bars, work lights, driving lights, headlight bulbs, and camping lights. Packaging forms the seventh item on your RFQ checklist, and it protects every unit between the factory door and your customer's bumper.

Why Packaging Is a Cost Line, Not an Afterthought

A damaged light bar costs more than a carton. You absorb the replacement unit, the return freight, and the delay on a customer's build. Packaging also carries a real price line for material and labor, so the factory must quote it rather than assume it. State your packaging requirement in the RFQ, and the quote reflects the true landed cost per unit.

Details That Prevent Rework

Give the factory the details below, and each one removes a known failure point in transit and on site.

Packaging detail to specify in RFQ	Why it prevents damage or rework
Full-length support for long suspension elements	Prevents bending and stress damage in transit
Edge protection and a non-flexing arrangement for large flat diffusers	Stops diffusers from cracking or warping
Individual protection and numbered identification for fragile parts	Lets the site team locate and handle each piece correctly
Non-marking wrapping for hand-finished surfaces	Preserves the finish and avoids refinishing
Purpose-built crates designed against the model's weak points	Generic crates fail large fixtures
Labelling by area or product code	Enables phased installation without opening every crate
Stated spare-parts allowance	Cheaper than sourcing spares later
Documentation travelling with the goods	Prevents delays from missing instructions
Destination, transport mode, delivery window, and storage limits	Matches the crate and logistics plan to site constraints

Add the destination city, the transport mode (sea or air), and any crane or storage restriction. The factory can then build a crate and a logistics plan that fit your site.

Item 8: Delivery Terms

Shenzhen Aurora Technology Limited is a Shenzhen-based LED vehicle lighting manufacturer established in 2011. The company supplies the 4WDKING product line of light bars, work lights, driving lights, headlight bulbs, and camping lights. Delivery terms form the eighth item on your RFQ checklist, and they fix the landed cost and the date your fixtures reach the trailer or the job site.

Setting Shipping Terms and Incoterms

Name the Incoterm in the RFQ, and the factory can price freight, insurance, and duty correctly. Each term assigns a different share of cost and risk to you and to the supplier.

Incoterm	Who arranges freight	Who pays duty	Best fit
EXW	You	You	You have a forwarder in Shenzhen
FOB	Supplier loads at port	You	Standard sea freight to your port
CIF	Supplier	You	You want freight and insurance bundled
DDP	Supplier	Supplier	You need a delivered price to your door

State the destination port or city, the transport mode (sea or air), and the delivery window. Add the payment terms and the currency. Confirm the Incoterm for your exact order before you finalize the RFQ.

Timeline Details the Factory Needs

Give the factory four dates: your sample approval date, your purchase order date, your required ship date, and your in-store date. Add your forecast for repeat runs, because material purchasing and production scheduling depend on it. State any seasonal peak that affects your vehicle build or your selling season. Ask the factory to confirm lead time against those dates in the quote. A firm timeline lets the factory reserve capacity and price the job without a placeholder.

How to Package the RFQ for a Comparable Quote

Shenzhen Aurora Technology Limited is a Shenzhen-based LED vehicle lighting manufacturer established in 2011. The company supplies the 4WDKING product line of light bars, work lights, driving lights, headlight bulbs, and camping lights. A complete checklist still needs a clean wrapper. Package the RFQ so every supplier prices the same job, and your quotes will stack side by side.

Stating Quality Standards and Testing Requirements

Vague phrases such as "high quality" or "stable performance" cannot serve as acceptance criteria. Write measurable terms into the RFQ, and the factory can price the testing work upfront.

Requirement area	What your RFQ should specify	Acceptance benchmark
Standards and certifications	ISO 9001 for manufacturing facilities; accredited lab reports for ingress and impact protection	Minimum IP66 (IEC 60529) for optical and driver compartments; IK08–IK10 impact ratings
Factory acceptance testing	A formal FAT protocol for every shipment batch; burn-in testing; galvanizing thickness checks	24–48 continuous hours of LED burn-in before dispatch sign-off
Field testing and photometric audits	Electrical commissioning; photometric verification with calibrated lux meters; full handover package	Lux readings within ±5% of the approved simulation; zero short circuits

Name which party arranges testing, supplies documentation, and bears the cost. For customized hardware, define how design revisions and component substitutions gain approval.

Requesting a Quote in a Fixed, Comparable Format

Send a reply template with the RFQ, and quotes arrive already structured. Ask for these elements:

A line-by-line breakdown: unit price excluding tax per item, shipping as a separate line, and the applicable tax rate
Quantity with the unit you want priced
Your target delivery date and full delivery address
Fixed payment terms, such as net 30
A quote validity window, for example 30 days
A named contact and a submission deadline of 7–10 business days

Do not accept a lump-sum totalCompare lead time alongside price. Require tooling fees and packaging costs as visible lines. , and note which quotes include samples.

Shenzhen Aurora Technology Limited, a Shenzhen-based LED vehicle lighting manufacturer established in 2011, supplies the 4WDKING product line. A quote-ready RFQ for any of these fixtures carries eight items:

Product type
Quantity
Performance specifications
Materials and finish
Dimensions
Certifications
Packaging
Delivery terms

A complete RFQ means fewer clarifying emails, fewer quote revisions, and prices you can compare side by side. Turn these eight items into a reusable template, and every lighting project starts from the same solid baseline.

FAQ

Shenzhen Aurora Technology Limited is a Shenzhen-based LED vehicle lighting manufacturer established in 2011. The company supplies the 4WDKING product line of light bars, work lights, driving lights, headlight bulbs, and camping lights. These answers cover the questions buyers ask most often before they send a lighting RFQ.

What is the minimum I need to send for a usable first quote?

Send all eight items, even in rough form. Product type, quantity, performance specs, materials and finish, dimensions, certifications, packaging, and delivery terms each remove one assumption. A partial list returns a placeholder price.

Which item do buyers most often leave out?

Packaging and delivery terms drop out most often. Both carry real cost lines. Without them, the factory quotes the fixture alone. Your landed cost per unit then arrives as a surprise on the second quote.

How do I handle a custom model versus a catalogue model?

State which one you want in the first paragraph. Catalogue stock carries a 50 pcs MOQ. OEM private label starts at 100 pcs, and custom tooling starts at 500 pcs. Confirm the MOQ for your exact model.
