Diesel generator sets are widely used as backup power sources across offices, factories, hospitals, commercial buildings, telecom facilities and industrial sites. While a DG set provides essential power during outages, operating one also comes with environmental and regulatory responsibilities.

For many businesses, compliance is treated as something to check only when an inspection is approaching. A better approach is to maintain compliance continuously—from selecting the right generator to keeping emission-control equipment, documentation and maintenance records in order.

This is especially important as emission requirements for generator sets have become more detailed and location-specific. A practical understanding of the major compliance areas can help facility managers avoid unnecessary delays, documentation gaps and operational problems.

1. Start With the Generator's Technical Details

The first step in environmental compliance is knowing exactly what equipment is installed at the site.

Facility owners should maintain basic information such as:

Generator make and model
Engine model and serial number
Rated capacity in kVA or kW
Manufacturing year
Applicable emission standard
Installation location
Operating hours
Existing emission-control equipment

This information becomes particularly useful when checking whether a generator falls under current emission requirements or whether an existing unit needs an appropriate retrofit solution.

Owners should not rely only on verbal information from a supplier. The engine nameplate, manufacturer documents, test certificates and purchase records should be used to verify the equipment's actual specifications.

2. Check the Applicable Emission Requirements

Environmental compliance is not identical for every diesel generator.

Requirements can depend on factors such as generator capacity, manufacturing date, location and the regulations applicable to the facility. This means a compliance decision should be based on the actual DG set rather than a generic statement such as “CPCB compliant.”

Central Pollution Control Board (CPCB) MoEFCC websiteThe is an important official source for environmental regulations and technical information in India. The Ministry of Environment, Forest and Climate Change also publishes relevant notifications and regulatory information through its official.

Before making an equipment decision, businesses should therefore verify the applicable requirement and keep a copy of the relevant documentation in their compliance records.

3. Maintain Proper Emission-Control Documentation

Emission-control equipment is only one part of compliance. The supporting documentation is equally important.

For a generator equipped with a retrofit emission-control system, owners should retain documents such as:

RECD test certificate
Type approval or relevant certification documents
Installation report
Commissioning records
Baseline test results
Maintenance records
Service reports
Relevant correspondence with authorities

This documentation creates a traceable history of the emission-control system.

RECD for DG setFor businesses evaluating an , it is also useful to understand what information should be checked before finalising a supplier. The equipment should be evaluated for compatibility with the engine, generator capacity, exhaust arrangement and applicable testing requirements rather than selected only on the basis of a quoted price.

4. Inspect the Exhaust and DG Room Arrangement

Environmental compliance also depends on the physical installation.

The DG room should be maintained with suitable ventilation, safe fuel arrangements and an exhaust system designed according to the applicable requirements. The exhaust route should also be inspected periodically for leaks, damaged joints or unauthorised modifications.

Any major change to the installation should be reviewed carefully rather than assuming that the original approval automatically covers the modified arrangement.

For generators fitted with emission-control equipment, sufficient service access is also important. A device that cannot be inspected or maintained properly can create operational and compliance problems later.

5. Keep Emission-Control Equipment Properly Maintained

Installing an emission-control device is not the end of the compliance process.

The equipment needs appropriate inspection and maintenance throughout its operating life. Depending on the technology and system design, maintenance may involve checking filters, sensors, exhaust connections, pressure conditions, alarms and other components.

A facility should maintain service records showing:

Date of inspection
Work performed
Components checked or replaced
Operating hours
Observed abnormalities
Technician or service provider details
Next scheduled service

This information can become valuable evidence during an inspection and can also help identify performance deterioration before it becomes a major issue.

6. Monitor Visible Smoke and Unusual Changes

Visible changes in exhaust smoke should never be ignored.

An increase in smoke can sometimes indicate an engine-related issue, poor combustion, maintenance problems or an emission-control system that requires attention. While visual observation is not a replacement for formal emission testing, it can act as an early warning.

Facility operators should report unusual smoke, abnormal exhaust conditions, unexpected alarms or significant changes in generator behaviour to the responsible maintenance team.

Early intervention is generally easier than trying to diagnose a problem after an inspection or emission test has already failed.

7. Maintain a Compliance File

One of the simplest ways to improve environmental readiness is to maintain a dedicated compliance file for every DG set.

The file can include:

Generator technical specifications
Purchase and installation documents
Applicable emission certificates
RECD documentation, where applicable
Consent and approval documents
Inspection reports
Emission-test reports
Maintenance records
Fuel and operating-hour records
Copies of relevant correspondence

For facilities operating several generators, maintaining separate files for each unit can make tracking considerably easier.

A digital backup is also useful so that important documents remain accessible even if physical records are misplaced.

8. Track Renewal and Inspection Dates

Compliance documents often operate on different validity periods. Treating all of them as one single renewal date can therefore create avoidable problems.

A simple compliance calendar can track:

Consent-related dates
Pollution/emission testing dates
Electrical safety requirements
Fire-related approvals
Retrofit verification or service requirements
Other location-specific permissions

Facility managers should ideally begin the renewal process before the existing approval expires, allowing sufficient time for documentation, inspections and any corrective action that may be required.

9. Consider Local and Location-Specific Requirements

Another important point is that environmental compliance can depend on where the generator is installed.

A DG set operating in Delhi-NCR may face requirements or restrictions that differ from those applicable at another location. Capacity-based requirements can also influence the compliance route.

This is why businesses should not copy the compliance procedure from another facility without checking whether the same rules actually apply.

10. Choose an Appropriate Retrofit Strategy for Older DG Sets

Many businesses continue to operate older generators because the equipment remains mechanically useful. Replacing an entire generator can involve significant capital expenditure, installation work and downtime.

Where regulations and technical conditions permit, an appropriate retrofit emission-control solution may be worth evaluating.

An RECD can be considered as part of the emission-control strategy for an existing diesel generator. However, owners should first confirm the applicable requirement and ensure that the selected device is suitable for the particular generator.

Important considerations can include generator capacity, engine condition, exhaust configuration, expected operating load, backpressure and supporting certification.

11. Do Not Confuse Compliance With Equipment Installation

A common misconception is that once an emission-control device has been installed, the compliance process is complete.

In reality, compliance is an ongoing process.

A properly managed generator should have:

Suitable equipment
Correct installation
Appropriate testing
Regular maintenance
Updated documentation
Timely renewals
Proper operating records

All of these elements work together.

Even a technically capable emission-control system can become difficult to defend during an inspection if its installation records, maintenance history or certification documents are missing.

12. Prepare for Inspections Before They Happen

Inspection readiness should not begin after an authority arrives at the facility.

A periodic internal review can help identify gaps before they become problems. Facility teams can verify whether the generator's documents are current, whether maintenance records are complete and whether the installed configuration still matches the approved arrangement.

It is also useful to ensure that site personnel know where the DG-related documents are stored and who is responsible for handling compliance-related queries.

This simple preparation can save considerable time during an actual inspection.

Conclusion

Environmental compliance for diesel generators is best treated as a continuous management process rather than a one-time formality.

Generator owners should begin by understanding their equipment and applicable emission requirements. From there, they should maintain proper emission-control
