Every year, the same thing happens. A brand realizes the holiday season is “just around the corner,” and suddenly it’s a scramble. Banners aren’t ready. Affiliates are asking for deal details nobody has finalized. Someone finds out the tracking link points to last year’s landing page.

If that rings true to you, don’t worry - you are not alone. Seasonal promotions are always fun but very demanding as well. You have a short time frame, lots of traffic, and your affiliate partners have to compete with at least a dozen other brands.

But there is some good news. Just a bit of organization will take you far. In this guide, you are going to learn everything about planning, launching, and managing your affiliate promotions. I will also outline cases when it would be a good idea to outsource this process.

Why Seasonal Affiliate Campaigns Are Different

A regular month in your affiliate program is steady. A seasonal peak is a sprint.

Buyers have a purpose when they come to shop. They look for discounts, make comparisons and are ready to purchase. So do affiliates who prepare their content, emails and budgets a month in advance. The companies providing affiliates with accurate information beforehand end up receiving the most placements. And those companies sending “hi, we have a discount!” emails just two days before? Well, in most cases, these go unnoticed.

Timing and transparency are key to seasonal marketing campaigns.

Step 1: Start Planning Earlier Than Feels Necessary

One of those lessons that many marketers have to learn is that whenever you think that your schedule is early enough – it isn’t.

Affiliates create editorial calendars long ahead of time, and gift guides, bargain comparisons, and offer round-ups require time. If you want a spot in them, your offer details need to be in their hands before they start working.

Work backward from your peak date and map out:

When your offer details will be locked
When creatives and assets will be ready
When you’ll brief partners
When the promotion goes live
When it ends (and what happens after)

Even a simple shared timeline keeps everyone honest.

Step 2: Nail Your Affiliate Campaign Setup Basics

This is where a lot of campaigns quietly fall apart. A solid affiliate campaign setup isn’t flashy, but it protects your revenue.

Set clear goals

"Get more sales" is not a goal. Think about goals such as reaching a revenue target, acquiring new customers, or recruiting a specific number of affiliates. Goals determine all other decisions you make – for instance, how much you will pay as commission and which affiliates you will invite.

Decide on your offer

Be very clear here: what is the discount, is there any promo code? Site-wide or just for selected products? How long is the deal? If affiliates do not understand what they have to promote, they simply lose interest.

Think about commissions and incentives

Seasonal periods are a good time to consider short-term boosts. That might be a temporary commission increase, a bonus for hitting a sales threshold, or a small reward for top performers. You don’t have to spend big. Even a modest, clearly communicated incentive can nudge partners to feature you over a competitor.

Test your tracking before anything goes live

Please, please do this one. Click your own links. Make a test purchase. Check that coupons attribute properly and that cookies behave the way you expect. A broken tracking link during your busiest week can mean lost commissions, unhappy partners, and sales you can’t properly credit.

Step 3: Get Your Creative Assets Ready

Affiliates are busy people. The easier you make it for them to promote you, the more likely they will.

Put together a simple promo kit with:

Banners in the common sizes
Product images and short descriptions
Email swipe copy they can adapt
Social media captions
Exact offer terms, dates, and any restrictions

Keep it in one place, like a shared folder or your affiliate dashboard, so partners aren’t digging through old emails. A little polish here pays off. It signals that you take the campaign seriously, and affiliates tend to match your energy.

Step 4: Affiliate Partner Activation (The Step Most Brands Skip)

Here’s something that surprises a lot of people: most affiliate programs have far more signed-up partners than active ones. You might have hundreds of affiliates on paper, but only a small slice actually promote you regularly.

That’s why affiliate partner activation deserves its own spot on your checklist. A seasonal promotion is the perfect excuse to wake up the sleeping partners.

A few things that tend to work:

Personal outreach. A short, friendly email that sounds like it came from a person, not a mass blast, gets better responses.
Early access. Give your best partners a heads-up before the general announcement. People like feeling like insiders.
Make the ask specific. Instead of “please promote our sale,” try “we’d love to be in your holiday gift guide, and here’s what we can offer you.”
Follow up. One email is rarely enough. A gentle reminder a week later often does the trick.

Content creators, coupon and deal sites, newsletter writers, and niche bloggers who already write about your category can be a great fit for a seasonal push.Don’t forget to consider sources outside of your existing list as well.

Step 5: Launch, Monitor, and Adjust

As soon as your campaign is live, don’t expect that you can kick back and relax - peak season flies by in a flash and small issues turn into major costs.

Be aware of:

Clicks, conversions, and revenue by partner
Coupon code usage
Any unusual drop in performance
Questions or issues from affiliates

In the case of a successful affiliate, praise them and find out whether there is anything else they might need. In the case of a poor-performing campaign, first check the fundamentals – connection, landing page, offer clarity. Sometimes small adjustments during the running campaign may significantly improve its performance.

Step 6: Wrap Up and Learn From It

It means the end of the promotion process but does not entail that everything ends here. Thank your partners, pay them their commissions on time, and analyze thoroughly.

What should be improved next year? Make notes immediately - it will be much easier to plan for the future. Your partners will also remember your thoroughness and professionalism.Who were the best affiliates? Which creative resources have been used?

When Does It Make Sense to Hire an Affiliate Marketing Agency?

Let’s be honest. Running all of this in-house is doable, but it takes time, and seasonal campaigns tend to land right when everyone’s already stretched thin.

You might want to hire an affiliate marketing agency if:

Your team is small and affiliate work keeps getting pushed down the list
You’ve got lots of affiliates but few that actually perform
Past seasonal campaigns felt chaotic or underwhelming
You’re launching a program and want it set up correctly from day one
You want someone watching tracking, payouts, and partner communication during peak weeks

This is where outsourcing of affiliate program management comes into play. By delegating recruitment, communication, check monitoring, and reporting to experts, you will have more time to focus on your business. Also, if you have a greenfield business that requires creating the whole affiliate program structure, then setting up services may become useful.

The best affiliate marketing agency will do more than push the button and send you the report. They should know people who can join the program, understand what motivates affiliates, and have experience running successful campaigns on behalf of various brands and at different times of the year.

Quick Seasonal Affiliate Checklist

Here’s a short version you can save:

Lock your offer and commission structure
Test all tracking links and coupon codes
Build a simple promo kit
Reach out personally to partners, active and inactive
Monitor performance daily during the campaign
Thank partners, pay on time, and review results
