A diesel generator is an important backup power source for offices, factories, hospitals, commercial buildings, and other facilities. Regular servicing is essential to keep a generator reliable and reduce the chances of unexpected breakdowns. This is why many businesses choose an Annual Maintenance Contract (AMC).

diesel generator AMCHowever, signing an AMC without checking the terms carefully can lead to unexpected costs or limited service coverage. Before signing a , it is important to understand exactly what services are included, what you will pay, and what responsibilities belong to the service provider.

What Is a Generator AMC?

A Generator AMC is a service agreement between the generator owner and a maintenance company. It generally covers scheduled inspections, preventive maintenance, troubleshooting, and other agreed services for a fixed period.

The exact coverage depends on the contract. Some AMCs may include only labour and routine servicing, while others may also cover selected spare parts, emergency breakdown support, and replacement services.

Therefore, never assume that every generator AMC provides the same level of coverage.

Why Is a Generator AMC Important?

Regular generator maintenance can help identify problems before they become major failures. Routine checks may cover engine oil, coolant, batteries, belts, filters, electrical connections, fuel systems, and other important components.

A proper AMC can help businesses:

Maintain generator reliability
Reduce unexpected breakdowns
Plan maintenance expenses
Improve preventive maintenance
Get access to trained service technicians
Reduce unnecessary downtime
Maintain important service records

For businesses that depend heavily on backup power, a well-defined AMC can make generator maintenance easier to manage.

What Should You Negotiate Before Signing a Generator AMC?

There are several important points you should discuss with the service provider before signing the contract.

1. Service Frequency

First, confirm how often the generator will be inspected and serviced.

Ask whether the contract includes monthly, quarterly, half-yearly, or usage-based maintenance. The required frequency can depend on generator capacity, operating hours, application, and manufacturer recommendations.

Make sure the agreed service schedule is clearly mentioned in the contract.

2. Services Included in the AMC

Do not simply accept the statement “complete generator maintenance.” Ask for a detailed list of included services.

Check whether the AMC covers:

Engine inspection
Oil and filter checks
Battery inspection
Coolant system checks
Fuel system inspection
Electrical connection checks
Alternator inspection
Control panel checks
Load testing
Preventive maintenance
Breakdown troubleshooting

A detailed scope of work helps avoid misunderstandings later.

3. Spare Parts Coverage

things to negotiate before signing generator AMCOne of the most important is spare-parts coverage.

Ask whether parts such as filters, belts, batteries, hoses, sensors, or other components are included in the AMC price.

In many contracts, labour may be included while replacement parts are charged separately. If this is the case, ask for a clear list of parts that are excluded and their applicable charges.

4. Breakdown and Emergency Support

Generator problems can happen outside normal working hours. Therefore, discuss emergency support before signing the agreement.

Ask:

Is breakdown support included?
Is 24/7 support available?
How quickly will a technician respond?
Are emergency visits charged separately?
Is transportation included?

These terms can become very important when the generator is required during a power failure.

5. Labour Charges

Confirm whether technician labour is fully included in the AMC.

Some contracts cover routine servicing but charge separately for major repairs or emergency breakdowns. Understanding this beforehand can help you estimate your actual maintenance expenses.

6. Preventive Maintenance Schedule

A good AMC should focus not only on repairing failures but also on preventing them.

Ask the service provider for a preventive maintenance schedule. It should specify what components will be inspected and how frequently the checks will be performed.

Preventive maintenance can help detect issues such as abnormal battery condition, oil leakage, overheating, loose connections, or worn components before they become bigger problems.

7. Service Reports and Documentation

Ask whether the technician will provide a service report after each visit.

A useful report can include:

Date of service
Generator running hours
Work performed
Parts replaced
Problems identified
Technician observations
Recommended repairs
Next service date

Maintaining these records makes it easier to track generator performance and maintenance history.

Should RECD Maintenance Be Included in a Generator AMC?

If your DG set uses an emission-control system, discuss whether the contract includes its inspection and maintenance.

RECD for DG setAn is related to exhaust emission control, so its maintenance requirements can be different from routine engine servicing. Ask the service provider whether RECD inspection, cleaning, monitoring, or related support is included in the AMC.

Do not assume that RECD-related work is automatically covered. The contract should clearly state what is included.

How Much Does a Generator AMC Cost?

There is no single fixed AMC price for every generator. The cost can depend on factors such as:

Generator capacity
Generator make and model
Operating hours
Number of service visits
Service location
Spare-parts coverage
Breakdown support
Emergency response
Scope of maintenance

Instead of choosing an AMC only because it has the lowest price, compare the total services and coverage offered by each provider.

What Should You Check Before Signing the Contract?

Before signing, review the AMC document carefully and check:

Contract Point	What to Check
Service frequency	Number of scheduled visits
Maintenance scope	Exact services included
Spare parts	Included or charged separately
Labour	Routine and breakdown labour coverage
Emergency support	Response time and availability
Service reports	Documentation after each visit
Contract period	Start and end date
Exclusions	Repairs or parts not covered
Payment terms	Billing schedule and taxes
Renewal	Renewal terms and price changes

A clear contract can help both the customer and service provider understand their responsibilities.

Common Mistakes to Avoid When Choosing a Generator AMC

One common mistake is choosing an AMC based only on price. A cheaper contract may provide fewer visits, limited breakdown support, or exclude important spare parts.

Another mistake is failing to check exclusions. Always understand what is not covered.

You should also avoid signing a contract without checking the service provider's technical capability, response time, documentation process, and experience with your type of generator.

FAQs

What is included in a generator AMC?

It depends on the contract. Common services may include preventive maintenance, inspections, servicing, troubleshooting, and scheduled technician visits.

Is diesel generator AMC worth it?

For businesses that depend on backup power, an AMC can help organize preventive maintenance and provide planned service support. Its value depends on the coverage and terms offered.

What are the most important things to negotiate before signing generator AMC?

Service frequency, spare-parts coverage, labour charges, emergency support, response time, exclusions, documentation, and renewal terms are some of the most important points to discuss.

Does an AMC cover generator spare parts?

Not always. Some contracts include selected parts, while others charge separately for replacements. Always check the contract's spare-parts clause.

Should RECD maintenance be included in a generator AMC?

If the DG set has an RECD system, ask the service provider specifically whether RECD inspection and maintenance are included. It should be clearly mentioned in the AMC scope.

How long does a generator AMC usually last?

An AMC is commonly arranged for a defined contract period, often one year, but the exact duration depends on the agreement between the customer and service provider.

Conclusion

A generator AMC can make maintenance more predictable and help keep your DG set ready for backup power requirements. However, the value of an AMC depends heavily on the terms written in the agreement.

Before signing, carefully negotiate service frequency, maintenance scope, spare-parts coverage, labour charges, emergency support, documentation, and exclusions. Most importantly, make sure every important commitment is clearly written in the contract.
