Coordinating transportation for a wedding with two ceremonies requires a clear plan because guests may need to travel between separate venues during the same wedding day. The easiest approach is to create a dedicated transportation schedule that connects the important locations and gives guests simple instructions.

Start With the Complete Wedding Timeline

Before booking transportation, write down every important event.

Include:

First ceremony start and end time.
Travel time to the second venue.
Second ceremony start time.
Reception start time.
Guest hotel locations.
Transportation departure times.

This timeline becomes the foundation of the transportation plan.

Divide Guests Into Transportation Groups

Not everyone will travel in the same way. Create groups based on their plans.

For example:

Group 1: Guests attending both ceremonies.

Group 2: Guests attending only the morning ceremony.

Group 3: Guests attending only the evening ceremony.

Group 4: Wedding party and immediate family.

This makes it easier to decide which transportation services are actually needed.

Set Fixed Shuttle Times

Avoid asking guests to contact the couple whenever they need transportation.

Instead, establish fixed shuttle departures.

For example:

Morning hotel-to-ceremony shuttle.
Ceremony-to-hotel shuttle.
Afternoon hotel-to-evening venue shuttle.
Evening venue-to-hotel return shuttle.

Fixed times make the schedule easier to follow.

Assign a Transportation Coordinator

One person should manage transportation on the wedding day.

The coordinator can:

Confirm vehicles have arrived.
Communicate with drivers.
Help guests find the correct vehicle.
Monitor delays.
Inform the wedding planner about transportation issues.

This keeps the couple and their families from dealing with logistical questions.

Use Clear Guest Communication

Transportation details should be shared before the wedding. A wedding website, itinerary, invitation insert, or guest email can be used.

Make the information easy to scan rather than placing it in a long paragraph.
