When you need to transport wedding guests limited venue parking can make the arrival period one of the busiest parts of the wedding day. Even when there are enough total parking spaces, problems can occur if too many vehicles arrive at the same time. A planned arrival system helps prevent traffic queues and allows guests to reach the ceremony on time.

Identify the Peak Arrival Period

Start by estimating when guests are likely to arrive.

If the ceremony begins at 4:00 p.m., many guests may arrive between 3:20 and 3:50 p.m. This short window should guide your transportation planning.

Keep Guest Vehicles Away From the Venue

If parking is extremely limited, use a remote parking location.

A shuttle can move guests from the parking area to the venue without bringing their vehicles into the crowded venue entrance.

Create a Traffic Flow Plan

Ask the venue where vehicles should enter and where shuttle vehicles should stop.

Avoid creating situations where arriving vehicles, vendors, and departing vehicles all use the same narrow area.

Assign Transportation Staff

A transportation coordinator can direct guests and communicate with drivers.

This person can also monitor whether additional shuttle trips are required.

Prepare for Delays

Traffic, late guests, and boarding delays can affect the schedule.

Build extra time into the plan and avoid scheduling the final shuttle so close to the ceremony that a small delay could make guests late.

FAQ
