birthday party hall in NoidaThere must be a way to ensure that the right kind of celebration is held each time there is a birthday coming up, and choosing the right determines all other aspects of the celebration. A room that is too small, long travel distance for guests or an unexpected cost on the day can ruin the celebration regardless of how well it has been planned. It is comforting to know that with some preparation, the process becomes simple.

1. Start with your guest count and age group

Before going through even one venue, make a note of how many people will be attending and who they are. An entirely different venue is needed if you have your child’s first birthday with his/her grandparents and all other family members as opposed to a party of 30 children or a 25th birthday party.

Inquire about the seating capacity of the hall comfortably as opposed to its maximum capacity. A hall which has a maximum capacity of accommodating 150 people becomes congested when you put into consideration a table for the cake, the stage and the dance floor.

2. Decide between an indoor hall and a lawn

Halls are cozy all year round. They will safeguard your interior from rain, wind and dirt, will help you to keep your guests either warm or cool and fit perfectly well for an evening party with lights and music.

Lawns are spacious and lively places, which fit perfectly for a daytime children’s party, playing games and taking pictures. Many parents would prefer a place where both options are available, enabling your guests to have games outside and celebration indoors. You should also consider the month when you are going to have your party.

3. Look at décor and theme flexibility

Themes play a vital role in the contemporary celebration of birthdays from arches of balloons and flowered background to theme color scheme for the milestone celebration. It is important to find out whether the venue provides theming decoration facilities in-house or if there is an option for bringing in a decorator on your own and how much time you have prior to guests' arrival.

Request for photographs of past birthday celebration decorations rather than just marriages. The good service provider will have the ability to customize the look according to the age group of people.

4. Check food and cake arrangements

The food is something that guests will remember for long. Find out whether the place offers catering service or not, whether the menus can be tailored to your requirement, and whether outside cakes are allowed to be taken in.

In case you are planning to have a party for children, ensure that there are child friendly options available in order to avoid the situation where you end up with buffet that only adults like.

5. Plan for entertainment and sound

It is more than just the meal. The games, a magician, the DJ or even a stage will transform an already good party into a wonderful experience. Verify whether there is enough room and outlets for a sound system and the performances.

Find out about any sound restrictions, especially those regarding the length of time that music can be played. In case of a surprise party, find out how the team will coordinate it.

6. Think about location and access

birthday party venues NoidaYour guests will include elderly family members, kids, and people who will be traveling to the venue from various parts of Delhi NCR, so make sure everything is convenient for everyone. Since there are many has to offer, but before finalizing it make sure that it is easily accessible and the journey is convenient during the time of your party. Try traveling to the place at the same time when your party will take place.

7. Understand the budget and what’s included

Have a detailed written quotation with everything that is included: room hire, decorations, food, cake, music, staffing, backup power and taxes. Ask about the things which are not included. Overtime costs, cleaning charges, or fees for any outside decorators can be additional charges that will affect the final bill.

Compare quotations on equal terms so that you are comparing apples to apples and not a low quotation to a full package quotation. Keep some ten percent of the total budget as a contingency fund.

8. Visit in person and ask the right questions

While pictures are useful, there is no substitute for visiting the place in person. Arrange your visit at a time close to that of your event and take into account the facilities, such as the bathrooms, chairs, lighting, and access to the kitchen, as well as talking to the event coordinator. Some useful questions are listed below:

How many people should fit in this facility for my number of guests?
Is there any décor provided, or do I get to bring my own?
Can I bring my own cake for the occasion?
Are there any rules regarding the time and music?
What is the payment system and cancelation policy?
Do I have an event coordinator on my event day?

9. Book early, especially for weekends

There are not enough weekends, festive occasions, and vacation periods. It is necessary to make your choice and visit two or three halls after booking an exact date. Booking some weeks earlier will help you organize everything in time.
