With business growth, manual HRM activities pose certain problems. It often turns out that activities such as managing employee records, attendance management, leave management, payroll, recruitment and onboarding processes, appraisal, and compliance end up in emails and Excel sheets, piling up. HRMS is used to solve this issue.

HRMS software in IndiaThere are certain local requirements that need to be taken into account while choosing the best . Local considerations such as payroll laws, PF, ESI, Professional Tax, attendance rules, and multi-state compliance would vary according to the type of workforce. An HRMS system is considered best when it is able to cater to these local requirements, as it will save much effort and reduce errors.

Currently, there are many HRMS software systems available, starting from traditional ones such as Keka, Zoho People, HROne, Darwinbox and ending with the more recent AI-enabled ones such as uKnowva and Craze. There is no single answer to the question "What is the best HRMS software in India? ", as it may be the best software for one company but not the right fit for another.

What Should You Compare in an HRMS?

The first thing that needs to be looked at is what part of the employee lifecycle can be covered using the HRMS. In India, the best HRMS software would take care of functions like recruiting, onboarding, employee records, leaves, attendance, payroll, performance management, and off-boarding. The presence of all of these in one system will help the HR department avoid repeating itself in multiple systems.

Leave management and attendance management require special consideration in the case of India. Look for functionalities like biometric integration, mobile check-in, shift management, attendance regularisation, automated leave process, and also features in payroll and compliance modules related to PF, ESI, and Professional Tax.

AI and Automation Can Reduce Routine HR Work

Automation is taking over in HR software. Workflow solutions can automate repetitive actions that HR employees previously had to do manually. Employee self-service portals will enable them to request leave, access documentation, check attendance, and manage relevant information independently.

Artificial intelligence makes this even better. Such platforms like uKnowva will give you an AI solution for chats, CV parsing, recommendations, and employee interaction. Predictive analytics will let you examine trends in performance, attendance, and attrition. All of these will be useful if they solve your actual workflow issue and not just come as a technological addition.

Ease of Use, Mobile Access and Integrations

Your HRMS Software may have lots of features yet still be hard to use because of a poorly thought-out interface. Therefore, HR managers should examine whether employees will find it easy to perform routine tasks. For instance, a simple mobile application, dashboards, and employee self-service will be beneficial, especially if the company has field, remote, or distributed teams.

Integration is another aspect that should be considered when choosing an HRMS. The best HRMS software will have to integrate with payroll systems, attendance devices, communication platforms, or existing business software. Flexible workflows and customisation will be useful for companies that have specific approval processes or HR policies.

Security and Compliance Matter

Employees' data includes salaries, identity documents, attendance logs, and other sensitive personal information. That is why security issues should be addressed from the very beginning. You should take into account such aspects as access control, data protection policies, permissions, backups, and compliance with relevant data protection laws.

In case you are going to grow further, scalability will be another important factor. It should let you expand the HRMS software and accommodate more employees without any need to redesign HR processes in your company later.

Points to Consider Before HRMS Software Comparison

First and foremost, companies need to identify the areas where they want to make processes easier by using the HRMS platform. While payroll and attendance can be a primary area of interest for one company, another company can have its primary focus on areas such as recruitment and onboarding. The size of the workforce and the number of branches of operation are also important aspects that need to be considered, particularly for companies operating in various states.

While conducting the comparison, it is important to look into things other than the feature list of the software solution. The user-friendliness of the solution, its integrations, customization options, and data security are some of the things that need to be evaluated before choosing any particular solution. The cost of the software and the cost related to the process of implementation also need to be considered at the time of comparison.
