A request for quotation is more than a file transfer. It is the starting point for a supplier’s interpretation of geometry, material, tolerances, finish, quantity, inspection, and delivery expectations. When those inputs are incomplete or conflict, the reply may contain hidden assumptions that later become schedule, cost, or acceptance issues.

A high-quality RFQ package does not need unnecessary paperwork. It needs one controlled definition of the part and a short statement of the requirements that change the manufacturing route. That gives engineering and procurement a clearer basis for comparing answers.

Make the model and drawing work together

A 3D CAD model communicates geometry efficiently, while a controlled 2D drawing normally carries dimensions, datums, GD&T, notes, threads, material callouts, and acceptance details that may not be obvious in the model. Send both when the drawing is necessary to define what will be accepted.

Check that filenames, part numbers, and revisions agree. If a drawing refers to a model revision or an external standard, make sure the supplier receives the applicable source or an unambiguous reference.

Specify the material beyond a generic name

“Aluminum,” “stainless steel,” or “plastic” may be a starting point, but material grade, temper, condition, color, reinforcement, or commercial specification can matter to machining, finishing, assembly, and documentation. If substitution is not acceptable, say so. If an approved equivalent may be considered, identify the approval path.

Material requirements should be connected to the part’s function, not only to a familiar name. This helps the buyer decide whether a supplier question is a technical issue that needs engineering input or a routine purchasing clarification.

Limit close tolerances to functional needs

Tolerances, datum relationships, surface roughness, thread calls, and cosmetic zones can change programming, workholding, measurement, and yield. Apply them where fit, motion, sealing, alignment, appearance, or another clear function demands them. A general note such as “precision required” is not a measurable acceptance condition.

Where a feature is critical, state how it relates to the assembly. This can make a supplier’s DFM question more useful and reduce the chance that an apparently minor dimension is treated as noncritical.

Include commercial scope with the technical files

Quantity, expected repeat demand, desired finish, inspection records, packaging needs, destination, and target timing should be in the RFQ. A supplier needs these inputs to evaluate material purchasing, process route, setup, finishing, inspection, and delivery scope together. For a starting point on file-driven manufacturing discussions, buyers can use SAMSHION. The order-specific quotation should still document the exact assumptions and deliverables.

Resolve questions into the released package

A strong RFQ creates a place for questions rather than pretending none will arise. Track supplier clarifications, decisions, and approved changes. Once they are resolved, update the controlled package or issue a clear written disposition before production is released.

This protects both sides. Procurement can compare like-for-like quotations, and engineering can retain a traceable link between the intended design and the manufactured part.

A practical decision table

RFQ item	Purpose	Common gap to avoid
3D model and controlled drawing	Defines geometry and acceptance	Conflicting file revisions
Material specification	Sets the intended condition	Generic material name only
Critical requirements	Guides process and inspection	Undefined “precision” note
Quantity and finish	Shapes route and cost	Leaving scope to assumptions

Review points before release

Confirm part number and revision across every file.
Include material grade and required condition.
Identify functional tolerances, threads, and cosmetic zones.
State quantity and expected repeat demand.
List inspection, packing, and delivery requirements.

Questions to resolve before ordering

Can a supplier quote from a 3D model alone?

Sometimes, but a drawing is needed when it contains the dimensions, datums, finish notes, or acceptance criteria that govern the part.

Should the RFQ include a target price?

It can, if useful for commercial discussion, but it should not replace a complete technical scope.

What is the best way to handle a drawing revision?

Issue a clearly identified controlled package and ask the supplier to confirm which revision is being quoted and released.

A well-prepared RFQ also helps the buyer. It reveals which requirements are still decisions rather than released facts: an unfinished finish callout, an unspecified material condition, a cosmetic preference without an acceptance reference, or a quantity that does not reflect expected demand. Resolve those gaps internally when possible, then invite a supplier to question the few points that genuinely require manufacturing input. The result is a comparison based on scope rather than guesswork.

Before approval, confirm that the current drawing, quotation assumptions, inspection needs, and delivery scope all refer to the same released requirement.

A practical next step

Use the next RFQ as a release package: one current definition, clear acceptance requirements, and visible commercial scope.
