When purchasing a Retrofit Emission Control Device (RECD) for a diesel generator set, buyers often focus on technical specifications, particulate matter reduction, installation requirements, and overall price. However, one important factor that can have a major impact on the long-term value of an RECD is the warranty offered by the supplier.

A warranty is more than a statement such as “12 months warranty.” Buyers should understand exactly what is covered, which components are excluded, whether labour is included, and what conditions can affect a warranty claim. A clear warranty can reduce unexpected maintenance expenses and make the overall RECD investment easier to manage.

1. Check Exactly Which Components Are Covered

The first thing buyers should review is the list of components covered under the warranty. An RECD system may include a housing or canister, filter element or substrate, sensors, pressure lines, gaskets, mounting arrangements, and other associated components.

A supplier may offer a long warranty period while excluding important parts from coverage. Therefore, buyers should ask whether the main filter element, sensors, controller, and other critical components are included.

It is also useful to ask what types of failures are covered. For example, the warranty should clearly distinguish between manufacturing defects, abnormal component failure, normal wear, and consumable replacement.

2. Understand Whether Labour Is Included

Replacing a defective RECD component is not always as simple as receiving a spare part. Depending on the installation location, the work may require dismantling, removal, lifting, refitting, testing, and commissioning.

This is especially important for rooftop DG rooms, basement installations, and industrial facilities where access can require additional equipment or manpower.

Before finalising a supplier, ask whether the warranty includes:

Engineer visit charges
Labour for removal and refitting
Travel and accommodation
Freight for replacement components
Lifting or access arrangements
Post-replacement inspection and testing

A lower-priced quotation may become more expensive later if these costs are excluded from the warranty.

3. Check When the Warranty Starts

The warranty start date can significantly affect its actual value. Some suppliers may calculate the warranty from dispatch or delivery, while others may start it from successful commissioning.

For buyers, commissioning-based warranty terms can be easier to evaluate because the equipment begins operating at the site from that point.

If installation is delayed because of site readiness, civil work, exhaust modifications, or other project requirements, a warranty that begins too early could reduce the effective coverage period.

Therefore, buyers should always ask the supplier to specify the warranty start date in the quotation and purchase order.

4. Read the Exclusions Carefully

Every equipment warranty has exclusions, and RECD warranties are no different. The important issue is whether these exclusions are clear and measurable.

For example, engine condition can influence the operation and life of an emission-control system. Excessive oil consumption, abnormal smoke, poor maintenance, unsuitable fuel, or operation outside specified conditions may affect the RECD.

Instead of accepting broad statements such as “warranty does not cover engine-related issues,” buyers should ask the supplier to identify the actual operating parameters and conditions involved.

A written and measurable exclusion is easier for both parties to understand if a warranty claim occurs later.

5. Ask About Performance-Related Warranty Conditions

A physically intact RECD does not automatically mean that it is performing as expected. Buyers should understand whether the supplier provides any performance-related commitment and what operating conditions apply to that commitment.

CPCB RECD procedureCPCB's published RECD procedure specifies requirements relating to particulate matter reduction, testing, certification, and conformity of production for applicable RECD systems. Buyers can refer to the official when understanding the regulatory and technical framework.

The warranty and any performance guarantee should ideally identify the operating conditions, maintenance requirements, and testing criteria relevant to the supplied system.

6. Verify Certification and Documentation

Warranty discussions should not be separated from product documentation. Buyers should verify that the proposed RECD is suitable for their DG set and that the supplier can provide the relevant certification and technical documentation.

CPCB list of certified RECD manufacturersThe Central Pollution Control Board maintains information on certified RECD manufacturers and their applicable genset capacity ranges. Buyers can consult the official when evaluating available suppliers.

This can help procurement teams compare suppliers using more than just price and warranty duration.

7. Ask About Response Time

A warranty becomes useful only when the supplier can respond effectively when a problem occurs. Buyers should therefore ask how quickly a service engineer will respond after a complaint is registered.

Important questions include:

What is the expected response time?
Where is the nearest service location?
How quickly can replacement parts be supplied?
Is emergency support available?
Who determines whether a failure is covered?
What documentation is required to raise a claim?

For critical facilities, faster technical support can be more valuable than a slightly longer warranty period with slow service.

8. Understand Maintenance Responsibilities

Most warranties require the customer to follow certain operating and maintenance practices. These may include maintaining the DG set properly, recording operating hours, following recommended cleaning procedures, and responding to alarms or abnormal conditions.

Before purchasing an RECD, buyers should request the operation and maintenance requirements and confirm that their facility team can follow them.

Keeping proper service records can also be valuable if a warranty claim is required later.

9. Compare Extended Warranty and AMC Options

After the standard warranty period, suppliers may offer an extended warranty or Annual Maintenance Contract (AMC). Buyers should not compare these options only on their annual price.

Instead, check what the package actually covers. Does it include replacement parts? Labour? Site visits? Cleaning? Testing? Emergency support?

A slightly higher AMC cost may provide better value if it covers important maintenance and service requirements that would otherwise be charged separately.

10. Compare Warranty Value, Not Just Warranty Duration

A common mistake is choosing the supplier offering the longest warranty period. A longer warranty is not necessarily a better warranty if critical components and labour are excluded.

Before finalising an RECD supplier, buyers should compare:

Component coverage + labour + exclusions + warranty start date + response time + maintenance requirements + certification support.

This approach gives procurement teams a more realistic understanding of the total value offered by each supplier.

Conclusion

Selecting an RECD supplier should involve more than comparing equipment prices and warranty duration. A well-defined warranty can provide greater clarity about component coverage, service responsibilities, exclusions, performance expectations, and long-term maintenance.

Before placing an order, buyers should request all warranty conditions in writing and ensure that important commitments are reflected in the quotation or purchase documentation. Reviewing these details in advance can help avoid misunderstandings and unexpected costs later.

For industries evaluating Retrofit Emission Control Devices for existing diesel generator sets, a supplier that provides clear technical documentation, defined warranty terms, appropriate certification support, and responsive after-sales service can make the overall procurement process much more reliable.
